Aijency Help

The 8-Minute Aijent

From signing up to a live Aijent answering visitors on your website, in four steps.

All Aijent plans

You can go from signing up to a live Aijent answering visitors in about eight minutes. There are four steps: the setup wizard, connecting your integrations, adding your website, and pasting the code into your site. The wizard reads your website automatically, so your Aijent knows your business before you finish it.

You can go from signing up to a live Aijent answering real visitors on your website in about eight minutes. That is the 8-Minute Aijent, and there are four steps to it.

  1. The setup wizard
  2. Connect your integrations
  3. Add your website
  4. Add the code to your website

Do them in that order. Each one sets up something the next depends on.

Using Aijent Relay?

This page is for Aijent. Aijent Relay has its own, shorter setup, and does not use integrations at all. See Aijent Relay.

Step 1: The setup wizard

The wizard is a short conversation. It is where your Aijent learns your business, and it does most of the work for you. This is why setup takes minutes rather than days.

Your website becomes its knowledge, automatically

The very first question is which website your Aijent should learn from.

The moment you answer it, Aijent starts reading your website in the background, while you carry on with the rest of the questions. It starts at your home page and works its way through the pages linked from it, several levels deep, turning what it finds into the knowledge your Aijent answers from.

You do not upload anything. You do not write a script of answers. You do not copy and paste your services or your pricing. It reads the website you already have.

Two things worth knowing:

  • How much it reads depends on your page allowance. Every plan includes a monthly allowance of pages it can read, and setup draws on it. During a free trial the allowance is smaller than on a paid plan.

  • It deliberately skips some pages during setup. These usually use up allowance without helping your Aijent answer a customer:

    • Your blog and news
    • Careers
    • Privacy and terms
    • Free-trial and thank-you pages

If something important lives on one of those, add it yourself afterwards from the Knowledge tab, where nothing is skipped.

You will see a note confirming it is learning about your site while you keep going. By the time you finish the wizard, your Aijent already knows your business.

While you are on a free trial

Your page allowance and document limit are lower during the trial than they will be once you subscribe. If you hit them while setting up, that is why. They lift automatically when your subscription starts.

What it asks you

Ten questions in total, including the website one. Answer them as if you were briefing a new salesperson on their first day.

  • Your website, as above.
  • What industry you are in.
  • Who your ideal customer is. Be specific: their size, the role of the person you would speak to, their budget, where they are based if it matters, and the problem they come to you to solve.
  • Who your Aijent should politely screen out. This is the most valuable answer in the wizard, because it is what teaches your Aijent to say no. Describe who has no budget, who is not the decision maker, who is the wrong size, who wants something you do not offer, and the people who were never buyers such as students, job seekers and competitors. This one is optional. Skip it and your Aijent treats every visitor as a potential customer and screens nobody out. You can turn it on later.
  • What you sell.
  • What should happen once a visitor is qualified. Either book a meeting on your calendar, or send them to a link such as a free trial, a quote request or a signup page. It then asks either what the meeting should be called, or what the action is and where the link goes.
  • How to handle pricing questions. Either offer a call to discuss pricing, which is recommended because it avoids quoting the wrong numbers, or share the pricing already published on your website.
  • What your Aijent should be called when it talks to your visitors.
  • How it should communicate. Professional, friendly, direct or consultative.

Nothing here is permanent. Every answer can be changed afterwards from your Aijent's settings, so do not agonise over any of it.

Step 2: Connect your integrations

Do this before you go live, so your Aijent is useful from its very first conversation rather than capturing leads with nowhere to put them.

Your calendar. Your Aijent cannot book a meeting without one. Connect Google Calendar or Microsoft Outlook. It then reads your real free and busy times and only offers slots that are genuinely open.

Your video tool. So meeting links are created automatically. One rule decides what is possible:

VideoWorks with
ZoomEither calendar
Google MeetGoogle Calendar only
Microsoft TeamsMicrosoft Outlook only

Your CRM. HubSpot, Pipedrive and Zoho connect in one click. Salesforce is available in beta and takes longer, because you connect it using your own Salesforce app credentials.

See Connect HubSpot for a full walkthrough.

Step 3: Add your website

Your Aijent only runs on websites you have added. This stops anyone who gets hold of your install code from putting your Aijent, and your conversation allowance, on a website you do not own.

  1. Open your Aijent from the Aijents section.
  2. Go to the Installation tab.
  3. Under Step 1, Choose where your Aijent can appear, select Add website.
  4. Enter your website address. It is added straight away, with no separate save.

Adding yourwebsite.com also covers www.yourwebsite.com, so you only need one of them. Other subdomains, such as shop.yourwebsite.com or a staging address, count as separate websites and need adding separately.

Do this before you paste any code. If you install first, nothing appears, and a perfectly good installation looks broken.

If you are on Starter

Starter allows one website, and once you have added it you cannot remove the last one. Check the address carefully before you add it.

Step 4: Add the code to your website

Your install code is on the same Installation tab, under Step 2, Install your Aijent. Select Copy to take the whole thing.

Paste it into your website's header. How you do that depends on your platform. See Installing on your website and pick your platform.

Check it is live

Open your website in a brand new private or incognito window. Not the tab you have been working in, because browsers keep saved copies of pages and will often show you the version from before you added the code.

Your Aijent should appear within a few seconds.

Say hello. Ask it something a real customer would ask, and check the answer came from your own website content. Then ask it something it could not possibly know. It should say it does not have that answer and offer to put you in touch with someone, rather than inventing something. That is deliberate, and it is what makes an Aijent safe to put in front of customers.

If nothing appears, check first that you added the website in step 3. The troubleshooting section of your install guide covers the rest.

You are live. What next?

Check your qualification level. It decides how much your Aijent finds out about a visitor before offering them a meeting, and it is the single setting that most affects the quality of what lands in your calendar. See Choosing your qualification level.

Add anything your website does not say. Price lists, service details, terms, common questions. Your Aijent can only answer from what it knows.

Keep it current yourself. Your Aijent reads your website once, during setup. It does not re-read it automatically. If you redesign your site, change your pricing or add a service, add that to your knowledge yourself.

Read your first week of real conversations. Nothing teaches you more about what your visitors want than watching them ask for it.
