Aijency Help

Analytics

Every conversation your Aijent has had, what came of it, and how to read it.

All plans

Analytics shows every conversation your Aijent has had, whether or not it produced anything, with the outcome, the full transcript and who the visitor was. Filter by Aijent, outcome, fit rating or date. Pro plans and Aijent Relay can export everything, including transcripts, to a spreadsheet.

Analytics shows every conversation, whether or not it turned into anything. That matters: the ones that went nowhere usually teach you more than the ones that worked.

The numbers at the top

Which of these you see depends on how your Aijent is set up.

  • Total Conversations. Always shown.
  • Total Leads. When your Aijent captures leads.
  • Meetings Booked. When your Aijent books meetings.
  • Escalations. Using whatever you call them, so if you have renamed them the tile follows.

If your Aijent shares a link rather than booking a meeting, you also get a call-to-action funnel: how many people were offered your link, how many clicked it, and the percentage between them.

That percentage is the number worth watching. A low click rate usually means the offer is being made too early, or to the wrong people, rather than that the link itself is wrong.

A "signed up" figure appears once conversions are being reported back, which requires connecting your signup to Aijency. Until then you will see offered and clicked only.

The conversation list

Each row shows:

  • Date and time
  • Name, email and company, where the visitor gave them
  • Which Aijent handled it
  • Fit, if screening is on
  • Outcome

Outcomes, from most to least valuable

  • Meeting booked
  • Signed up
  • CTA clicked
  • Escalation raised
  • CTA offered

Where more than one applies, the most valuable is shown.

Finding things

Search by name or company. It does not search email addresses, even though the email column is right there.

Then narrow it down:

  • Aijent, if you run more than one
  • Outcome
  • Fit
  • Date range, using From and To

The filters only offer values that have actually occurred, so a new account sees fewer of them.

Reading a conversation

Select any row and the whole conversation opens in a panel beside it.

It shows:

  • Their details: email, phone and company
  • The date
  • Badges for the outcome, the fit rating, and whether it reached your CRM
  • The conversation itself, exactly as it happened, labelled so you can see what your Aijent said and what the visitor said

Press Escape or click away to close it.

This is the most useful thing on the page. Half an hour reading real conversations will tell you more about your knowledge gaps and your screening than any number above them.

What to look for while reading:

  • The point where a conversation stops. That usually tells you exactly what went wrong.
  • Questions your Aijent could not answer. Each is a gap in your knowledge base.
  • Whether your Aijent sounds like you. If not, see brand voice.

Exporting to CSV

Pro and Aijent Relay only

Export CSV downloads your conversations as a spreadsheet.

Two things make it more useful than it first appears.

It respects your filters. Whatever you have narrowed the page down to is what you get. Filter to last month, one Aijent and meetings booked, and that is your export. Set the filters before you export.

It is not just the page you are looking at. The export contains everything matching your filters, not the fifty rows on screen.

What is in the file

One row per conversation, with:

  • Date and time
  • Name, email, company and phone
  • Which Aijent handled it, and where the conversation came from
  • The outcome
  • The fit rating and the reason behind it
  • Whether it reached your CRM
  • The full transcript, in the last column

That last column is the reason to use it. A spreadsheet of every conversation you have ever had, searchable in Excel, is a genuinely useful thing to have when you are trying to work out what your customers keep asking for.

What people use it for

Reporting to someone else. A board, a client, an agency.

Analysing at volume. Sorting and pivoting to find patterns the dashboard does not surface.

Keeping your own record, independent of your plan's history.

Feeding another tool, such as your own reporting or a spreadsheet model.

Availability

CSV export is on Pro, and it is included with Aijent Relay. It is not on Starter or Growth.

CSV export is available on Pro. You can see your current plan and change it on your billing page.

Your dashboard home is different

The home page shows today only, plus your ten most recent conversations. Use it for a daily glance, and analytics for anything real.

What to actually look at

Conversations with no outcome. Somebody arrived, engaged, and left with nothing. Read a few and you will usually find the same missing answer behind them.

Escalations. Every one is a question your Aijent could not handle. If a theme repeats, it belongs in your knowledge base.

Fit ratings against outcomes. If people rated a good fit are not booking, the problem is in the conversation. If poor-fit visitors are booking, your screening needs tightening.

A note on the date filter

The To date can behave oddly right at the edge of a day, because the filter and the displayed times do not handle timezones identically. If something seems to be missing at a boundary, widen the range by a day.

On Aijent Relay

Relay shows conversations and escalations only. Meetings, leads, outcomes and fit ratings belong to the sales product, so they are absent rather than empty. Day to day work happens in your conversations inbox instead.
