Connect Microsoft Outlook and Teams
Let your Aijent see your real availability and book meetings straight into your Outlook calendar.
Connect Microsoft Outlook and your Aijent reads your real availability, offers only times inside the working hours you set, and books directly into your calendar with a Teams link created automatically. Events you have marked as free or working elsewhere are not treated as busy, so a day marked working from home does not block your bookings.
Connecting your calendar is what turns a good conversation into a booked meeting. Without one, your Aijent can qualify a visitor and capture their details, but it cannot offer a time.
What it does once connected
It reads your real availability. Before offering any time, your Aijent checks your Outlook calendar and works around anything you are genuinely busy with. Events you have marked as free, or as working elsewhere, are not treated as busy, so a day marked "working from home" does not block your bookings.
It only offers times inside your working hours, which you set per day in your Aijent's settings. A slot is only offered if the whole meeting fits before your day ends.
It books directly into your calendar and sends the invitation to the visitor.
It creates the Teams link automatically as part of the booking, so there is nothing to set up. If you use Zoom instead, the Zoom joining details are added to the invitation.
About timezones
Times are always offered from your working hours, in your timezone. If a visitor is elsewhere in the world, your Aijent shows those same moments in their local time, and their confirmation arrives in their timezone too.
You will not end up with a 3am booking, because your working hours decide what is offered.
Which video tools work with Outlook
| Video | Works with Microsoft Outlook |
|---|---|
| Microsoft Teams | Yes |
| Zoom | Yes |
| Google Meet | No, Meet needs Google Calendar |
Choose your calendar first. Your dashboard then only offers the video tools that work with it.
Connect it
- In your dashboard, go to Integrations.
- Under Calendar, choose Microsoft Outlook from the dropdown.
- Select Connect. A Microsoft window opens.
- Sign in with the account whose calendar you want meetings booked into.
- Approve the access Microsoft asks for. Your Aijent needs to read and write your calendar so it can avoid your busy times and create bookings, and to create Teams meetings if you use Teams.
- The window closes and Microsoft Outlook shows as connected.
- Under Meeting Platform, choose Microsoft Teams.
Some organisations restrict which apps staff may approve. If your sign-in is blocked, your IT administrator will need to allow it.
Check it worked
Open your website in a private or incognito window and chat with your Aijent until it offers times. Compare those against your real calendar, then book one and confirm the invitation arrives with a working Teams link.
Book a real slot rather than assuming. Booking is the one thing customers cannot afford to have quietly broken.
Things worth knowing
Your Aijents share one calendar connection.
If the connection expires, we email you and show a banner in your dashboard, and the card returns to a Connect button. Reconnect promptly, because without a calendar your Aijent cannot book anything.
Meetings appear in your CRM too, if you have one connected.
If times look wrong
Check your working hours in your Aijent's settings. This is the usual cause.
Check you connected the right account, particularly if you have both a work and a personal Microsoft account.
Remember it reads your busy time. A calendar full of internal meetings leaves few slots to offer. If you want to protect time without blocking bookings, mark those events as free rather than busy.
