Connect Google Calendar and Meet
Let your Aijent see your real availability and book meetings straight into your Google Calendar.
Connect Google Calendar and your Aijent reads your real free and busy times, offers only slots inside the working hours you set, books directly into your calendar and sends the invitation. Google Meet links are created automatically. Times are always offered from your working hours and shown to the visitor in their own timezone.
Connecting your calendar is what turns a good conversation into a booked meeting. Without one, your Aijent can qualify a visitor and capture their details, but it cannot offer a time.
What it does once connected
It reads your real availability. Before offering any time, your Aijent checks your calendar's genuine free and busy periods. It will not offer a slot you are already booked for.
It only offers times inside your working hours. You set those in your Aijent's settings, per day. A slot is only offered if the whole meeting fits before your day ends, so you never get a meeting that runs past your finish time.
It books directly into your calendar and sends the invitation to the visitor, with a reminder by email an hour before and a pop-up 15 minutes before.
It creates the video link automatically. If you use Google Meet, Google Calendar generates the link as part of the booking, so there is nothing to set up. If you use Zoom instead, the Zoom joining details are added to the invitation instead.
About timezones
Times are always offered from your working hours, in your timezone. If a visitor is somewhere else in the world, your Aijent shows those same moments in their local time, so nobody has to do the arithmetic.
Their confirmation email also arrives in their own timezone. You never end up with a 3am booking because your working hours are what decide what is offered.
Which video tools work with Google Calendar
| Video | Works with Google Calendar |
|---|---|
| Google Meet | Yes |
| Zoom | Yes |
| Microsoft Teams | No, Teams needs Microsoft Outlook |
Choose your calendar first. Your dashboard then only offers the video tools that actually work with it, so a broken pairing is not possible.
Connect it
- In your dashboard, go to Integrations.
- Under Calendar, choose Google Calendar from the dropdown.
- Select Connect. A Google window opens.
- Sign in with the Google account whose calendar you want meetings booked into. Check this carefully if you have more than one.
- Approve the access Google asks for. Your Aijent needs to see your calendar so it can avoid your busy times, and to create events so it can book.
- The window closes and Google Calendar shows as connected.
- Under Meeting Platform, choose Google Meet.
Check it worked
Open your website in a private or incognito window and chat with your Aijent until it offers you times. Compare what it offers against your actual calendar. Then book one and check the invitation arrives with a working video link.
Book a real slot rather than assuming. Booking is the one thing customers cannot afford to have quietly broken.
Things worth knowing
Your Aijents share one calendar connection. You cannot point one Aijent at one calendar and another Aijent at a different one.
If the connection expires, we email you and show a banner in your dashboard, and the card returns to a Connect button. This matters more than it sounds: without a calendar, bookings stop, so reconnect promptly.
Meetings appear in your CRM too, if you have one connected. See Integrations.
If times look wrong
Check your working hours in your Aijent's settings. This is the usual cause. Your Aijent will never offer outside them, so if too few times appear, your working hours are probably narrower than you think.
Check you connected the right Google account. If your meetings live on a different calendar from the one you connected, your Aijent is reading the wrong one.
Remember it reads your busy time. A calendar full of internal blocks and focus time leaves very few slots to offer.
