Connect Zoho CRM

Connect Zoho CRM so the leads, bookings and callbacks your Aijent captures land in your CRM automatically.

Zoho CRM connects in one click from the Integrations page. Your Aijent writes a contact, an account, a deal when a meeting is booked, an event for the meeting itself, and a task when somebody asks for a callback. Records it creates are marked with a Lead Source of Aijent, which only works if Aijent is one of your allowed picklist values.

Zoho CRM connects in one click. Once connected, what your Aijent captures is written to your CRM automatically.

What Aijent writes to Zoho

  • A contact, created or matched by email address. When matching an existing contact, your Aijent only fills in blanks such as a missing phone number. It never overwrites anything already there.
  • An account, matched by website address first, then by exact name, otherwise created. If a visitor uses a personal email address such as Gmail, and does not say which company they are from, no account is created.
  • A deal, when a meeting is booked, placed in the first stage of your pipeline with a closing date 30 days out. Unlike some CRMs, a deal is still created even when there is no account to attach it to.
  • An event, when a meeting is booked, with the time, the video link and the contact and deal attached. It appears in your Zoho calendar without any extra configuration.
  • A note holding the conversation and the qualification summary. It is rewritten as the conversation continues.
  • A task, when a visitor asks for a callback. Not started, high priority, due today, linked to the contact, plus a separate note holding the conversation.

The Aijent source

Contacts and deals your Aijent creates are marked with a Lead Source of Aijent, so you can report on what it is contributing.

Because Lead Source is a picklist, this only works if Aijent is one of your allowed values. If it is not, Zoho rejects the value, your Aijent saves the record without it, and everything else works normally. Add Aijent to your Lead Source picklist to get the attribution. Accounts, notes, tasks and events are not marked.

When a deal is created

Only when a meeting is booked.

A visitor who gives their email but does not book will appear as a contact with their conversation attached, but no deal. That keeps your pipeline to real opportunities.

Connect it

  1. In your dashboard, go to Integrations.
  2. Find the CRM dropdown and choose Zoho CRM. A Zoho box appears with a Connect button. There is no Connect button until you have chosen Zoho from the dropdown.
  3. Select Connect. A Zoho window opens. Sign in if you are not already.
  4. Approve the access Zoho lists.
  5. The window closes and Zoho shows as connected.

Zoho runs in several regions around the world. Your Aijent works out which one your account is in during the connection, so there is nothing for you to choose.

Check it worked

  1. Open your website in a private or incognito window.
  2. Chat with your Aijent as a customer would, give an email address you will recognise, and book a meeting.
  3. In Zoho, find the contact, then check the deal, the event and the note.

Give it time if no meeting was booked

A booking syncs straight away. Somebody who leaves an email without booking may take around 25 minutes to appear, because those are collected on a schedule that waits until the conversation has been quiet for a while. Checking 30 seconds after a test chat and seeing nothing is expected, not a fault.

Visitors who leave without giving details

If somebody has a reasonable conversation and leaves without giving a name or an email, your Aijent still records it in Zoho as a contact named UNIDENTIFIED VISITOR, with the conversation attached.

This is deliberate, so real interest does not disappear silently. Because there is no email to match on, several such conversations attach to the same record.

If you would rather these did not appear, filter them out by name, or get in touch.

Things worth knowing

One CRM at a time. Connecting Zoho disconnects any other CRM, and everything from that point goes to Zoho. Records already in the other CRM stay exactly where they are.

Conversations from before you connect are never synced, so connecting does not flood your CRM with history.

All your Aijents share one connection.

If leads are not arriving

Wait long enough. See the timing note above.

Check the conversation captured something. Every conversation is visible in your dashboard whether or not it produced a Zoho record.

Check the connection is healthy. Open Integrations and confirm Zoho still shows as connected. If a connection expires we email you and show a banner in your dashboard, and the card returns to a Connect button.

Check your Lead Source picklist if records are arriving without the Aijent attribution.

Remember history is not backfilled.

If leads are still missing, get in touch with the date of the conversation and the email address involved.
