Connect Zoom

Use Zoom for the meetings your Aijent books, with either Google Calendar or Microsoft Outlook.

Zoom is the only video option that works with either calendar, which makes it the safe choice. It holds no availability of its own, so you must connect Google Calendar or Microsoft Outlook first. Meetings are created with a waiting room on and recording off, and the joining details are added to the invitation automatically.

Zoom is the most flexible option, because it is the only video tool that works with either calendar.

Zoom needs a calendar

Zoom does not hold your availability, so it cannot tell your Aijent when you are free. That always comes from your calendar.

Connect Google Calendar or Microsoft Outlook first, then choose Zoom as your meeting platform. Your dashboard will not let you choose a video tool until a calendar is connected.

If you are not sure which video tool to use, Zoom is the safe choice, because changing calendar later will not force you to change video tool too.

What happens when a meeting is booked

Your Aijent creates a scheduled Zoom meeting for that time and adds the joining link, meeting ID and passcode to the calendar invitation the visitor receives. There is nothing to set up per meeting.

Meetings are created with a waiting room, so nobody can join before you admit them, and participants cannot join before the host. Recording is off.

Connect it

  1. In your dashboard, go to Integrations.
  2. Connect your calendar first, if you have not already.
  3. Under Meeting Platform, choose Zoom from the dropdown.
  4. Select Connect. A Zoom window opens.
  5. Sign in and approve the access. Your Aijent only asks for permission to create meetings. It cannot read your recordings, your contacts, or your past meetings.
  6. The window closes and Zoom shows as connected.

Check it worked

Open your website in a private or incognito window, chat with your Aijent, and book a meeting. Check the invitation arrives with a Zoom link, and that the link opens a real meeting.

Things worth knowing

Your Aijents share one Zoom connection.

Changing your calendar will not break Zoom, because Zoom works with both. This is the main reason to choose it.

If the connection expires, we email you and show a banner in your dashboard, and the card returns to a Connect button. Reconnect promptly, because bookings need a working video link.

Check Zoom is still selected as your meeting platform. Changing your calendar can clear your video selection if the two are no longer compatible, though this should not happen with Zoom, which works with both.
