Connect Pipedrive
Connect Pipedrive so the leads, bookings and callbacks your Aijent captures land in your pipeline automatically.
Pipedrive connects in one click from the Integrations page. Your Aijent writes a person, an organisation, a deal when a meeting is booked, a meeting activity, a note with the conversation, and a call activity when somebody asks for a callback. For people already in your Pipedrive it only fills in blanks and never changes what your team entered.
Pipedrive connects in one click. Once connected, what your Aijent captures is written into your pipeline automatically.
What Aijent writes to Pipedrive
- A person. Created if they are new, or matched by email address if they already exist. When matching someone who is already there, your Aijent only fills in blanks, such as a missing phone number. It never overwrites anything you or your team have already entered.
- An organisation, matched by name or created, when the conversation tells your Aijent which company they are from.
- A deal, when a meeting is booked.
- An activity of type meeting, when a meeting is booked, with the time, the video link and the person and deal attached. It appears in your Pipedrive calendar without you configuring anything.
- A note holding the conversation and the qualification summary. It is rewritten as the conversation continues, so do not be alarmed if it changes while you are reading it.
- An activity of type call, when a visitor asks for a callback. It is left open and due today, so it sits in someone's to-do list rather than going unnoticed. Pipedrive has no ticket object, so a call activity is the closest equivalent.
The Aijent label
People and deals your Aijent creates are given an Aijent label, which it adds to your existing label list the first time it syncs. Filter on it to see exactly what your Aijent is contributing.
Two things to know. The label goes on people and deals your Aijent creates, not on organisations, activities or notes, and not on people who were already in your Pipedrive. And if your Pipedrive permissions prevent Aijent from adding the label option, records are still created, just without the label, and nothing will look broken.
When a deal is created
Only when a meeting is booked.
A visitor who gives their email but does not book will appear as a person, with their conversation attached, but no deal. That is deliberate: it keeps your pipeline to real opportunities rather than filling it with enquiries.
People already in your Pipedrive
Your Aijent is careful with records you already own. When it finds somebody by their email address, it will:
- Fill in blanks. A phone number given during the chat is saved if the record has none.
- Leave everything else alone. A name, phone number or organisation your team entered is never changed.
- Keep them where you filed them. If the person already belongs to an organisation, they stay with it, even if the conversation mentions a different company name. The deal and the meeting are then filed under that same organisation, so everything stays together on the account your team works.
It will replace a name only when the existing one is blank or a placeholder, such as a record previously created as an unidentified visitor. A real name that somebody typed in is never touched.
Connect it
- In your dashboard, go to Integrations.
- Find the CRM dropdown and choose Pipedrive. A Pipedrive box appears with a Connect button. There is no Connect button until you have chosen Pipedrive from the dropdown.
- Select Connect. A Pipedrive window opens. Sign in if you are not already.
- Approve the access Pipedrive lists.
- The window closes and Pipedrive shows as connected.
Check it worked
- Open your website in a private or incognito window.
- Chat with your Aijent as a customer would, give an email address you will recognise, and book a meeting.
- In Pipedrive, look for the person, then check the deal, the meeting activity and the note.
Give it time if no meeting was booked
A booking syncs straight away. Somebody who leaves an email without booking may take around 25 minutes to appear, because those are collected on a schedule that waits until the conversation has been quiet for a while. Checking 30 seconds after a test chat and seeing nothing is expected, not a fault.
Visitors who leave without giving details
If somebody has a reasonable conversation and leaves without giving a name or an email, your Aijent still records it in Pipedrive as a person named UNIDENTIFIED VISITOR, with the conversation attached.
This is deliberate: the conversation may still tell you something useful, and it stops real interest disappearing silently. Because there is no email to match on, several such conversations attach to the same record rather than creating a new one each time.

Things worth knowing
One CRM at a time. Connecting Pipedrive disconnects any other CRM, and everything from that point goes to Pipedrive. Records already in the other CRM stay exactly where they are. Nothing is deleted or moved.
Conversations from before you connect are never synced. This is deliberate, so connecting does not flood your pipeline with months of history.
All your Aijents share one connection. You cannot point one Aijent at one Pipedrive account and another at a different one.
If leads are not arriving
Wait long enough. See the timing note above.
Check the conversation captured something. Every conversation is visible in your dashboard whether or not it produced a Pipedrive record.
Check the connection is healthy. Open Integrations and confirm Pipedrive still shows as connected. If a connection expires we email you and show a banner in your dashboard, and the card returns to a Connect button.
Remember history is not backfilled. Anything from before you connected was never sent.
