Every email Aijency sends, what it means, and what to do about it.
Aijency sends you an email when a meeting is booked, when a visitor needs a person, at 50, 75 and 90 percent of your conversation allowance, as a trial runs down, when a connected account stops working, and when extra conversations are charged. The connection one is the only one that cannot wait, because bookings stop silently until it is fixed.
We send few emails, and each one means something. Here is the whole list, so you know which need action.
When a meeting is booked
You get: the meeting details, a summary of the conversation, and a link straight to the record in your CRM.
What to do: read the summary before the call. It tells you what they want.
On Growth and above you can copy a second address, which is useful for a manager or a shared inbox. See booking meetings.
When somebody needs a person
You get: their details and what they were after, so your team can respond.
What to do: respond quickly. Somebody asking for a human is at the point of deciding.
On Aijent Relay this is an escalation, and can also go to Slack. See escalations.
When you approach your conversation limit
You get: an email at 50%, 75% and 90% of your monthly allowance.
What to do: usually nothing at 50%. At 90% it is worth knowing what happens next, which differs depending on your plan and whether you are on a trial. See trials, plans and billing.
When your trial is running out
You get: a reminder as the end approaches.
What to do: if you want to keep your Aijent, add a card before the trial ends. If you do nothing, your subscription ends and your Aijent stops appearing on your website.
When a connection stops working
You get: a note that a connected account needs reconnecting.
What to do: act on this one promptly. If it is your calendar, your Aijent cannot book meetings until it is fixed. If it is your CRM, leads stop arriving there. Reconnect from Integrations.
This is the most important email we send. Everything else can wait a day.
When you are charged for extra conversations
You get: a note that extra conversations have been added to your next invoice.
What to do: nothing, unless it is a surprise. If it keeps happening, moving up a plan is usually cheaper than paying per conversation.
What we do not email you about
Worth knowing, so you are not waiting for something that will not arrive:
- A failed CRM sync. If a lead does not reach your CRM, nothing tells you. Check your dashboard against your CRM if you suspect a problem.
- A failed payment. Your card provider or Stripe will contact you, but we do not.
Not receiving them
- Check your spam folder.
- Check which address they go to. They go to the account owner.
- Ask about your company's filtering if you use strict rules.
